INDIAN HILL HIGH SCHOOL ALUMNI ASSOCIATION MEETING June 6, 2002 The regular monthly meeting of the Indian Hill High School Alumni Association was held on Thursday, June 6, 2002 at 7:35 PM in the Media Center of the High School Building. There will be no regular meeting scheduled for July due to various vacation schedules and IHEVSD school closing. A special planning meeting will be called in August to review content and setup for our upcoming mass mailing. The following Officers and Trustees were in attendance: President: Jay V. Creighton 1978 474-6702 The meeting was called to order by the President Jay Noiman. Copies of Jay's agenda were distributed. APPROVAL OF THE MINUTES: Joan had copies of the May 2nd meeting available as needed. A motion was made, seconded, and passed for approval of the minutes. A copy of a colorful foldover invitation Bill had created for the 2002 Reunion in Atlanta was shared. He had reached out to various alums in Georgia who he believed might respond to a personal invitation. (Bill, thank you for the excellent job and effort expressed in your invitation; as well as your attendance at Scott and Elizabeth Lyon's.) TREASURER'S REPORT: Geoff presented the following report: CHECKING: Beginning Balance: $ 2,722.26 Deposit: 894.95 Expenses: - 0 - Ending Balance: $ 3,617.21 SAVINGS: Interst: $ 24.75 $12,279.62 WM. P. KINCAID SCHOLARSHIP FUND: $ 4,367.00 A motion was made, seconded, and passed to accept the Treasurer's Report. General discussion followed regarding Vanguard (bond fund). Jay and Geoff will continue to explore the investment market. Jay has investigated various bond funds. It was believed best to explore those funds that can be sold before ten years and give a good return. It was recommended that investments be in the name of the Indian Hill High School Alumni Association. We will be looking for continuous growth in relation to our aging alumni. Following the above discussion a motion was made, seconded, and passed that we invest in Vanguard. It was noted that IHHSAA events have basically paid for themselves. It is hoped that individual class reunions and scholarship fund raisers will help support future planning. Annual dues of $10.00 combined with gifting has proven to be helpful; however, we need additional financial resources for growth. Clarification from a previous meeting was made concerning our working with class reunion committees to raise funds by including a charge per attendee (of an amount/$3.00) to be dedicated to the IHHSAA Scholarship Fund. This matter will be discussed further at a later meeting. Bill Kincaid, Honorary member of the Class of 1959, suggested that we reach out and contact Jerry Grace as a possible benefactor to the IHHSAA. It was suggested that Dana or Jay reach out to Jerry as he is a 1959 Class Representative. DATABASE REPORT: Dana reported current membership is 473. Lengthy discussion took place regarding the current work that Dana is doing regarding the "classmates.com" web site. He noted that many alums listed are not IHHS grads according to our records. There are also numerous duplications and many invalid e-mail addresses. They report to have 12,091 names listed. Only a maximum of 20 messages per day are allowed through their system. To date, he has sent 200 messages and has received 45 returns. All e-mail inquiries must go through "classmates.com" and addresses are unable to be seen. Dana showed the set up for a personal contact invitation sent to their web site. It is our hope that IHHS alums will explore our web site at "http://www.ihhsaa.org" and become informed about us. E-MAIL NEWSLETTER: Dana reported that he would like articles to include in the Summer E-Mail Newsletters. Deadlines are June and August 15th. It was suggested that we include information regarding openings for: Officers, Trustees, Committee Chairs, and Volunteers for Mailings/Fund Raisers, etc. We will especially need interested volunteers to help facilitate possible golf and tennis events in the future. It is hoped our newsletter and personal outreach will fill positions. Eddie reported that the Kentucky Speedway's May event was cancelled due to rain. The race has been rescheduled for Sept. 6th. SCHOLARSHIP: Dana reported that he had received and forwarded to Peg two scholarship applications. MEMBERSHIP: All are urged to attend and help with our next mailing. Details will follow. ARCHIVES REPORT: Greg reported that he has received five copies of "The Legend" formerly belonging to Miss Mary E. Thomas, faculty, who is now deceased. It was suggested that we publish a list of missing yearbooks on our web site. It is believed that such a listing in our E-Mail Newsletter, Indian Hill Living and Bulletins might also draw interest from a larger audience. Greg is also remaining in contact with Herb Hillard (Class of 1954) regarding the Athletes Hall of Fame records and compiling updated information. Greg is also continuing to sort, identify, and file photos and other memorabilia at home. SOCIAL REPORT: It was noted that Shari has stepped down as Social Chair. Appreciation was expressed for Shari's excellent work in this position. Following discussion Jeff was asked to fill this vacancy. He accepted. A motion was made, seconded, and passed that Jeff serve as our next Social Chair. Discussion took place regarding a fund raising Golf Outing for the Wm. P. Kincaid Scholarship Fund. It was believed that Spring of 2003 would allow better timing for locating a golf course, marketing, and securing reservations. Jeff outlined some golf course requirements, fees, times and days of availability, etc. in various locations in the surrounding areas. He will reach out to other golf courses for more complete information and investigate food and restaurant facilities. Discussion also centered on a IHHSAA Golf Outing in the Fall of 2003. It is believed this would be featured as a local fun event on a smaller scale than the WPK Scholarship Fund raiser. Jay and Jeff will explore these Golf Outings as two events and report back at a later meeting. Tennis Tournaments were briefly discussed. Jay will contact Walnut Hills High School regarding their organization and planning of alumni tennis events. It was reported that they have been involved in sponsoring city-wide events and have experienced good alumni participation. LaCrosse teams were also briefly discussed. This topic may be considered at a future date. MAILING: Jay is working out details of format and content of our upcoming mass mailing. Brief discussion took place regarding the printer and paper to be used. Eighty-pound stock is believed to be good; however, the sixty-pound would be acceptable. Jay will determine cost, etc. for this project. REGIONAL REUNION: No decision has been confirmed for a New England location or date. Offers have come in from Massachusetts and others are pending. BRAINSTORMING: Other outreach ideas were: Stay with developing Regional Reunions; Promote Car Decals, Coverlets, and 2001 Alumni Directories. It was also suggested that we investigate the possibility of creating IHHSAA license frames for cars. MISCELLANEOUS: Discussion took place regarding comping in a local Ohio attorney and accountant in exchange for services performed for the IHHSAA. IRS 501(c)3 FORMS: Jay reported that he had received the requested package of information and necessary forms to be filled out from Wm. E. Santen, Jr. (Class of 1973).
