INDIAN HILL HIGH SCHOOL ALUMNI ASSOCIATION MEETING January 10, 2002 The first meeting of the new year for the Indian Hill High School Alumni Association was held on Thursday, January 10, 2002 at 7:35 PM in the Media Center of the High School Building. Prior to the meeting being called to order Joan distributed IHEVSD 17-month calendars for 2001-2002. The meeting was called to order by the President, Jay Noiman, and copies of his agenda were distributed. APPROVAL OF THE MINUTES: Prior to this meeting copies of the Thursday, December 6, 2001 meeting minutes were distributed and reviewed. Following brief discussion a motion was made, seconded, and passed for approval. CORRECTION: SOCIAL REPORT: Keeneland Race Course was proposed for a weekend. TREASURER'S REPORT: Geoff distributed copies of the following report: CHECKING: Beginning Balance: $ 3,328.27 Deposits: 1,253.85 Expenses: Check to Market Place Printing - 178.15 Check to Larry Haymes (graphics) - 880.00 Check to Shari Eberle - 15.64 Check to Trophy Awards - 27.25 Check to Solutions - 29.82 ---------- $ 3,451.26 SAVINGS: $ 8,179.72 Interest: $19.26 WM. P. KINCAID SCHOLARSHIP FUND: $ 359.51 Discussion took place regarding the current market and return of investments in stocks and bonds. Concerns were expressed over poor returns. Geoff and Jay will continue to explore options for investment. A motion was made, seconded, and passed to approve the Treasurer's Report. Dana noted that the Trophy Awards expense was for three engraved plaques to update our Eagle Trophy that the IHHSAA presents at the annual IHHS Homecoming football game. DATABASE REPORT: Dana gave a breakdown of:: 3 Trustee renewals, 4 reservations for Atlanta, 67 current members, and 81 alumni missing from the Harris Publishing directory. E-MAIL NEWSLETTER: Dana is sending complimentary newsletters out during the months of January and February to all valid e-mail addresses in our database. A "Join the IHHSAA..." message is included. ~Dana reported that Harris Publishing has obtained a larger database of valid e-mail addresses than we have been able to obtain. ~Bill inquired if school custodians would be considered to receive copies of our E-Mail Newsletter. The response was "yes" if the custodians would like to contact us with their request. ~It was noted that there is no link possible with classmates.com. We must join in order to access. HARRIS PUBLISHING: To date, Dana has cross referenced into the "D's." He noted that 81 alumni are not listed in Harris Publishing's new directory. The class rosters have 1,000 address changes. The disk supplied by Harris Publishing is not in the format requested, and has not been useable. There are two alumni who wish to return their directories and be refunded their money. One alumnus was told the deluxe directory would be leather bound and the other member was displeased and was also referred back to Harris Publishing. Though the new directory publication is careless and unprofessional it has filled in gaps. Dana learned that Harris Publishing only took our database once. All of our other future updates were not utilized. Our January mailing and E-Mail Newsletter will validate the directory and database listings. This will bring another certain wave of updates. MEMBERSHIP REPORT: Diane discussed the Advantage Department at American Airlines. Incentive miles and other additional information may be found on the web using a hyperlink at: www.advantage-orderform.com. Use of form will require 7 to 10 days to process. Mentoring was discussed with the thought of Partners in Education for IHHS. Legal forms and permission slips are considered essential. We will consult with an attorney and David Quattrone, Superintendent of Schools, before taking any active steps. Bill suggested that Diane contact Meredith (Hamilton) Loghran, teacher at IHHS since 1972, as an additional resource. Discussion also covered the possibility of having an associate member (non-alumni) serve as an outside guest in specialty and professional areas that would be of interest to students. Various categories were considered: Mentor, Intern, Graduate, Co-Op, and Tutor. It was believed that a Career Day/Vocation Day that could target and match students with alumni would be unique and benefit both parties. This topic will be discussed at future meetings. The idea of the IHHSAA functioning as a clearing house of professions will also be discussed. It was suggested that we use the E-Mail Newsletter to determine the interest level of alumni to establish a program of intrapersonal relationships of alumni and student. MARKETING CH.: Nicholas will pursue areas to raise interest, participation, promote growth, and funding for the IHHSAA. He will also submit articles to Dana to appear in our E-Mail Newsletters to better define these areas. ~A promotion piece for the Southeast Regional Reunion on April 13th will still be needed. ~The Executive Services Corps of Cincinnati was briefly discussed. ~The Buddy Card sponsored by LaRosa's was discussed at great length. It was noted that to participate in this fund raising drive would require a 200 card minimum and be a $900.00 outlay. Cost would be $6.00 per card. For $10.00 we could sell 12 coupons. A "buy one, get one free" feature for the Zoo, Art Museum, Children's Museum, Natural History Museum was of interest. Jay will inquire if we could advertise on our website. It was very clear that this would take dedicated effort as this program has been in operation in our area for sometime. Suggestions for selling were possibly basketball games and other functions for youth. It was recommended that Jay contact Peg for her input. He will also make copies of this proposal to distribute at our next meeting so we can have a better understanding for this type of commitment. Jay noted that there is an expiration time factor involved and that he would like to begin ASAP should we choose to do so. ARCHIVES CH.: Greg reported that he has explored various storage facilities. E-Z Mini Storage offers 5'X10' for $55.00/month. His primary concern is climate control and off the ground protection of items. Diane recommended Greg contact Bob Steel of Wildcat Self-Storage. It was suggested that Greg investigate Office & Industrial Liquidators locations for suitable storage items. Greg also shared articles from the Monday, October 29, 2001 "Indian Hill Bulletin." On page 6 was an article he had written and submitted regarding the passing of his mother on July 10, 2001. On page 9 was a brief article and two photos he submitted. The winning Sophomore "Disco Fever" float and the IHHSAA presenters of the Eagle Trophy to members of the Sophomore Class at the annual homecoming football game. Joan gave Greg a copy of the program for William R. Minturn's Memorial Service held on Sunday, December 9th at the Indian Hill High School Auditorium. SOCIAL REPORT: Shari gave a brief report on the Southeast Reunion in Atlanta, Georgia scheduled for Saturday, April 13th. For other details visit our website: www.ihhsaa.org. The Keeneland Race Course trip is scheduled for Saturday, April 20th. The trip will be by Motor Coach and will accommodate 40 people. Shari will send Dana info for the E-Mail Newsletter. Posting will also appear on our website. At 8:40 PM we broke into a mailing preparation workshop in an effort to complete our January mailing project. Jay and Dana brought stationary and supplies needed for this workshop. The project consisted of: #10 envelope for mailing with insert of a #9 envelope and a prefolded/"Z" enclosure; then affixing address label, postage stamp, and sealing. Dana will do a regular check at the Post Office in order to keep up with all returns. The group effort was truly appreciated and special thanks to those (*) who were able to stay and help to complete this project. There being no other pressing business we adjourned at 10:10 PM.
