INDIAN HILL HIGH SCHOOL ALUMNI ASSOCIATION MEETING April 4, 2002 The regular monthly meeting of the Indian Hill High School Alumni Association was held on Thursday, April 4, 2002 at 7:30 PM in the Media Center of the High School Bulding. Our next regular meeting will be held on Thursday, May 2nd. Reminder: ~IHHS Prom Weekend is May 18th & 19th. ~No School, Memorial Day, May 27th. ~Last Day for Students, June 6th -- Summer Break. ~Last IHHSAA scheduled meeting at IHHS, 7:30 PM, June 6th. ~Request to be included in IHEVSD calendar for 2002-2003. ~Last Day for Teachers, June 7th. ~Commencement at 8:00 PM, June 7th. ~First Day of School for Students, August 26th. Eberle 1973 232-5499 The meeting was called to order by the President, Jay Noiman. Copies of Jay's agenda were distributed. Belated saluations were expressed to Bill Kincaid for his birthday on March 11th. Bill, Please accept our sincere appreciation for all your efforts, support, and encouragement in helping us to grow. APPROVAL OF THE MINUTES: Copies of the minutes of the Thursday, March 7, 2002 meeting were made available for review. A motion was made, seconded, and passed that the minutes be approved. TREASURER'S REPORT: Geoff presented the following report: CHECKING: Beginning Balance: $ 10,006.58 Deposits: 1,028.95 Expenses: Mailings - 40.82 Post Office Box - 80.00 Transfer to Savings & Scholarship- 8,000.00 Ending Balance: 2,914.71 SAVINGS: Interest $15.80 $ 12,233.88 WM P. KINCAID SCHOLARSHIP FUND: $ 4,360.17 General discussion followed. Jay and Geoff will talk further and review the current financial market and possible investments in 12 month CD's. A motion was made, seconded, and passed to accept the Treasurer's Report. DATABASE REPORT: Dana reported current membership is 435. The Database is expanded and individuals are sending in their own updated information along with their dues payments. Classmates.com is still an endeavor he would like to pursue after the Sixth Annual IHHSAA All-Class Southeastern Regional Reunion in Atlanta, Georgia on April 13th. Dana reported that he was contacted by a directory service for Purdue University. They primarily contact universities and colleges. It was mentioned that they may enter into the high school arena in the future. He requested they contact him should they do so. It would provide us with another option for directory services. MEMBERSHIP REPORT: Jay reported that Diane Cornett has resigned due to personal scheduling conflicts. We will need to find a replacement as we would like to follow-up with mentor programs involving alumni members -- both local and out-of-town. Jay reported that he had been contacted by Steve Hilmer (Class of 1968, Past President of IHHSAA, 793-9958) regarding the formation of a College Fair consisting of IHHS alumni. It is believed that a possible three-year commitment would be needed. The E-Mail Newsletter is believed to be our best outreach at this time. Jay and Steve will talk further regarding this matter. It is hoped in this way we could attract students earlier in their high school career by gearing toward the Sophomores and Juniors. It was noted that college/university applications need to be submitted in the senior year of high school no later than Thanksgiving for consideration and/or acceptance. ARCHIVES REPORT: Greg reported that he is currently collecting, cataloging, and holding items in his home. No commitment has been made for a rental storage container. He has investigated several possibilities and will advise us when larger space is required. Files, file cabinets, boxes, and other proper containers for photos will be needed. Jay brought a box containing photos and memorabilia to the meeting for Greg. It was suggested that we take time at a future meeting to attempt to identify some of the subjects and catalog them. It is our desire to collect copies of "The Legend" yearbooks from each year for our archives. It is also believed that we can use the yearbooks to help re-create records of various historical events, administration, faculty, sports, awards, etc. Peg stated that within her family they have yearbooks ranging from 1968 to 1981 that could possibly provide resource information. Bill has yearbooks for 1954 to 1987 that could be used for resource information also. Greg reported that the Indian Hill Historical Society has copies of "The Legend" available. It is also hoped that we can recruit information through our E-Mail Newsletter. Dana discussed an e-mail that he had received from Herb Hillard (Class of 1954) and his concern for recognition of athletes from 1954 to 1980. An item on this subject appeared in our March E-Mail Newsletter. SOCIAL REPORT: No official report was given as Shari was unavailable for this meeting. Dana reported there are currently 30 RSVPs for the Atlanta Reunion on April 13th. It is unclear how many may show up at the door. It was noted that there was no RSVP deadline given for this event. Trustee members who will be attending are: Bill, Dana, and Joan. Bill and Mildred will be driving down and staying with friends in the area. Dana and Joan will fly down and stay near Scott and Elizabeth Lyon's home in the Buckhorn area. Bill volunteered to collect and take recent building information for the new IHHS. Dana will take: current list of attendees, nametags, pens, membership forms, and IHHSAA banner. He and Scott will work out payment for expenses incurred. Scott's dues were comped. It is hoped that Class Representatives and other leadership may come from this reunion. Bill reported that he sent e-mails and received returns. He also mailed out approximately 26 personal notes and received no replies. He mentioned alumni who responded to his outreach and will be attending. It was noted that Ken Juergens (Class of 1956/Captain with TWA) has been a faithful supporter of our events and the IHHSAA. It was suggested that if closer followup had been done Ken and others may have been in attendance. It is believed that we need to encourage new as well as those who have attended past events. States contacted for the Southeastern Reunion were: Virginia, North & South Carolina, Georgia, Florida, Tennessee, Alabama, Mississippi, and Louisiana. The Masters Tournament and IRS deadline were considered to be possible conflicts for this weekend. A more favorable time of year was discussed. In summary: Notice was included in January mailing. Separate flyer mailed under cover to 8 or 9 states. E-Mail Newsletter promotions. Bill personal outreach. MARKETING REPORT: No official report was given as Nicholas was unavailable for this meeting. Activity regarding Delta Miles was briefly discussed. Peg mentioned that she had gathered data from Bill on the origination and development of the IHHSAA. It is hoped ideas can be incorporated in marketing and scholarship promotion. THE LINK: It was reported that a "Quick Link" had recently gone out. It was believed that the last issue of "The Link" had gone out as a graduation issue in September 2001. MISCELLANEOUS: Jay will continue to reach out for a suitable attorney. He will also follow-up on a copy of non-profit status. WM. P. KINCAID SCHOLARSHIP: Peg expressed appreciation for the recent transfer of funds. She has carry-over applications as well as current to review. She will report back at a later meeting. Peg discussed potential endowments (sub funds) that could be created under the umbrella of the Wm. P. Kincaid Scholarship Fund. It was noted that a gift had been given anonymously in memory of David McLennan (Class of 1960). Peg reported that she and Shari are joining to promote a Golf Outing to raise funding for the Wm. P. Scholarship Fund. They are forming a committee now and are hoping the event will take place in Spring 2003. This project will be a large undertaking and volunteers will be needed. Rick Pitcairn (Class of 1972) has volunteered to chair this Golf Outing Project. E-MAIL NEWSLETTER: Dana requested Peg to submit articles covering the Wm. P. Kincaid Scholarship Fund and Golf Outing for our April E-Mail Newsletter. It was also suggested that Bill submit interest stories of former Superintendents and/or Administrators of IHHS. Deadline is April 15th. Call Dana if time extension is needed. Also, consider Summer Break and topics. There being no further business the meeting was adjourned at 8:30 PM.
